Caribbean Closers is an outsourced sales agency that places trained, Caribbean-based sales professionals with businesses in the US, UK, and the Caribbean. We help companies turn their existing leads into revenue through follow-up, appointment setting, and closing. As a small, fast-moving startup, you'll gain firsthand experience in how a sales business operates and take on real responsibility from day one.
About the Role
You will work directly with the founder as her key support on the day-to-day operations of the business. Your responsibilities will encompass three main areas: supporting the recruitment of our sales representatives, responding to warm leads and booking discovery meetings, and maintaining the administrative organization of the business. You will also utilize AI tools to assist in preparing proposals and client documents.
This role is ideal for individuals seeking hands-on experience in sales, recruitment, or business operations, and who are comfortable navigating situations where established processes may not yet exist. A part of your role will involve contributing to the development of these processes.
What You'll Do
Recruitment Support
- Post job openings on our hiring platforms and job boards, ensuring listings remain current.
- Screen incoming applications against defined criteria and manage candidates through the hiring stages.
- Schedule interviews and manage candidate communications, including invitations, reminders, next steps, and polite rejections.
- Maintain organized candidate records and track the status of each applicant within the pipeline.
- Assist in onboarding new representatives by distributing welcome materials, collecting necessary documents, and setting up tool access.
Lead Response and Appointment Setting
- Respond promptly to inbound inquiries and warm leads via email, phone, and WhatsApp (no cold calling).
- Conduct brief qualifying conversations to understand prospect needs.
- Schedule sales discovery meetings on the founder's calendar.
- Send meeting confirmations and reminders, and follow up with no-show attendees to reschedule.
- Log all conversations and subsequent actions in our CRM to ensure comprehensive tracking.
Proposals and Meeting Preparation
- Research prospective clients before discovery calls and prepare a concise one-page brief outlining their business, offerings, and potential needs.
- Develop initial drafts of proposals and follow-up emails using AI tools and company templates, for founder review.
- Take notes during or after calls as requested, and synthesize them into clear action items.
General Administration and Operations
- Manage and triage the shared inbox, flagging items requiring the founder's attention.
- Ensure the CRM is accurate and up-to-date with contact details, deal stages, and notes.
- Prepare a simple weekly update summarizing new leads, meetings booked, show rates, and pipeline status.
- Document task procedures as you learn them to contribute to building standard operating procedures (SOPs) as the company grows.
- Assist with scheduling social media posts for recruitment and company updates.
- Organize files, templates, and shared folders for easy document retrieval.
- Undertake other ad-hoc tasks as the business expands.
What We're Looking For
- Currently enrolled in university or college. A background in business, HR, marketing, communications, or a related field is advantageous but not required.
- Excellent written and spoken English proficiency, coupled with a warm and professional phone demeanor.
- Highly organized and reliable, with a strong sense of follow-through.
- Comfortable with ambiguity. You should be adept at asking clarifying questions, making sound judgments in the absence of complete instructions, and proactively flagging potential issues.
- Proficient in using Google Workspace or Microsoft Office, with a keen interest in exploring AI tools such as ChatGPT or Claude.
- Ability to maintain the confidentiality of candidate and client information.
- Access to a reliable laptop and internet connection, and a quiet workspace for calls.
Nice to Have
- Previous experience in customer service, sales, reception, or recruitment (including part-time or volunteer roles).
- Familiarity with CRM systems, scheduling tools like Calendly, or applicant tracking systems, or a demonstrated ability to learn such tools quickly.

Time Commitment
