Objective

Oversee day-to-day operations at assigned fire protection project sites, including workforce management, material tracking, progress reporting, issue resolution, documentation, and stakeholder communication, in line with company standards and project timelines.

Key Responsibilities

Attendance Monitoring

  • Report to the project site by 9:30 AM.
  • Ensure workers, technicians, and subcontractors record and confirm daily attendance through Zoho or the assigned system.
  • Record personal attendance in Zoho.
  • Verify and approve attendance before 11:00 AM, then reconfirm it after 6:00 PM.
  • Report absenteeism, irregularities, and manpower shortages to the Project Manager promptly.
  • Maintain backup attendance records manually or through WhatsApp if system issues occur.

Site Progress and Project Updates

  • Maintain up-to-date knowledge of the project scope, drawings, BOQ, schedules, and site requirements.
  • Provide daily site activity updates to the project team through WhatsApp or email.
  • Ensure work follows approved designs, client specifications, and agreed timelines.
  • Conduct daily site walkthroughs and report observations on work alignment.
  • Visit up to three sites as required and report check-in and check-out times to the Project Manager.

Workfront Progress and Targets

  • Maintain a daily work progress log covering active work fronts, manpower deployment, and completed quantities.
  • Ensure execution aligns with daily and weekly targets issued by the Project Engineer.
  • Identify delays, constraints, and risks affecting progress, and escalate them promptly.
  • Coordinate with other teams and trades to support effective work sequencing and avoid obstructions.

Material Receipt and Tracking

  • Verify incoming materials against delivery challans and notify the Store or Inventory team promptly.
  • Maintain photographic and signed delivery challan records for all site deliveries.
  • Report shortages, damage, or discrepancies to the Project Manager and Inventory team.
  • Share material updates and requisitions through WhatsApp.
  • Ensure the safe unloading, storage, tagging, and handling of materials.

Problem Identification and Resolution

  • Proactively identify technical, logistical, manpower, and site coordination issues.
  • Raise material requirements and site issues early to help prevent delays.
  • Escalate critical matters, including drawing mismatches, space constraints, approval delays, and unavailable work fronts, to the Project Engineer or Project Manager.
  • Follow up on pending RFIs, consultant instructions, and client approvals.

Documentation and Reporting

Maintain organised digital and physical records for:

  • Daily Progress Reports (DPRs)
  • Labour attendance sheets
  • Site photos taken before, during, and after work
  • Material receipt and consumption logs
  • Client and consultant instructions, approvals, and checklists

Submit signed checklists, reports, and weekly updates to the Project Manager. Maintain documents through Google Drive, WhatsApp, and site files.

Communication and Stakeholder Coordination

  • Serve as the daily coordination point between TFPC and client or site representatives.
  • Communicate professionally with clients, consultants, subcontractors, and internal teams.
  • Attend site meetings and submit meeting minutes to the Project Manager.
  • Respond promptly to calls, messages, and task updates through WhatsApp and other communication channels.
  • Share critical client or consultant decisions, changes, instructions, and approvals with the project team.
  • Be available to support emergency situations when needed.

Daily Reporting Checklist

Submit daily reporting by 6:00 PM, including:

  • Attendance status and remarks
  • Photos of work fronts
  • Progress summary, including quantities, areas, and levels covered
  • Materials received and materials required
  • Problem and issue log
  • Instructions received or changes made
  • Planned work for the following day

Required Skills

  • Knowledge of fire protection systems, including sprinkler, hydrant, and pump room systems.
  • Strong site coordination, communication, and stakeholder management skills.
  • Ability to manage workforce deployment and resolve site conflicts.
  • Strong documentation and reporting discipline.
  • Digital literacy in WhatsApp, Google Sheets, and basic Microsoft Office.
  • Effective time management, leadership, and proactive problem-solving skills.
